Omnilex is creating the next generation of legal intelligence. Our AI understands legal reasoning and helps professionals make smarter decisions with clarity and speed.

Today, Omnilex supports law firms, insurance companies, and corporate legal teams in Switzerland and Germany. As we expand internationally, we are looking for an Operations Manager who will ensure the company runs smoothly behind the scenes — handling HR, legal, and administrative processes so the team can focus on growth and innovation.

 
The Role

You will own the day-to-day operations of Omnilex, keeping everything organized, compliant, and efficient. Your work will span HR coordination, insurance and benefits, contract management, and office administration.

This is a hands-on role for someone who enjoys structure, clarity, and making sure things simply work. An ideal fit for someone who thrives in dynamic environments and wants to grow alongside a fast-scaling company.

 
What You'll Do

  • Oversee HR administration, including employment contracts, onboarding, insurances, and payroll coordination
  • Handle office and vendor management, ensuring smooth day-to-day operations
  • Support finance and accounting processes with external partners (bookkeeping, invoices, expense management)
  • Maintain and optimize internal systems, documentation, and workflows
  • Coordinate legal and compliance matters, such as company registration or changes in legal structure
  • Act as the central point of contact for administrative questions within the team

Who You Are

  • 3+ years of experience in operations, administration, or office management, ideally in a startup or SME environment
  • Strong understanding of HR and administrative processes in Switzerland (experience with other European and / or North American countries is a plus)
  • Highly organized, reliable, and detail-oriented
  • Comfortable managing multiple topics in parallel and working with external partners
  • Proficient with digital tools and modern workflows
  • Fluent in German and English, both spoken and written
