What’s the team like?
VSL is an international specialty construction company with a global presence. The main objective of our Finance, Controlling & admin team in Bern/Switzerland is to support our internal partners with financial knowledge and to oversee the budget controls for our various projects. We believe that preserving our built environment is a critical approach to reducing the carbon footprint of the infrastructure sector, and we see innovative engineering and high-quality execution as key to this. Together, we work in a multidisciplinary environment to improve our technologies and develop new, differentiating solutions. Our engineering teams combine the knowledge and experience of civil engineers, mechanical engineers, and data scientists. We work with multinational teams and strive to strongly promote diversity.
How will you make an impact?
VSL Switzerland is looking for a new Office Assistant in order to manage office administration in the Bern. Your main tasks will be:
Office Management
Tracking and ordering small office equipment
**Follow up on company cars**: leasing contracts, fuel cards, car insurance, speed fines
Logistic preparation for new starters with the manager (material, desk, IT access)
Support IT
Ordering, monitoring and managing stock of IT equipment and Swisscom subscriptions
Managing access to groupie and the group directory
Communication and Special events
Yearly events organization (Spring, Autumn events and Christmas Party)
Preparing and publishing Website / Intranet communication
Organizing guest visits and welcoming visitors
Liaising with reception to request any catering, booking meeting rooms or registering visitors
Finance
Purchase order creation and follow up
Invoice allocation and clearance
Checking and opening vendor accounts in the system
Provide support on other tasks upon request of manager
Who are we looking for?
Proven experience as an administrative assistant or office admin assistant
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular), SAP knowledge an advantage
Excellent time management skills and ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
English and German fluent (French is a major plus)
