Genai Project lead

Key Responsibilities:
Phase 1: Planning and Preparation
- Define Objectives and Scope:

- Assist and advice our IT team to clearly define the objectives and scope of the
GenAI pilot (e.g., efficiency improvements, new use cases).
- Define Feedback Mechanism for Stakeholder Engagement:

- Establish a dedicated platform (e.g., project management or feedback collection
tool) to gather real-time and scheduled feedback from pilot participants.
- Communication Plan Development:

- Develop and execute a communication plan to articulate the pilot’s purpose,
expected outcomes, and updates to all participants.
- Coordinate communication efforts between the project team and stakeholders
to ensure consistent messaging.
Phase 2: Pilot Execution
- Feedback Collection and Categorization:

- Facilitate regular check-ins with pilot users to collect insights and identify
emerging use cases.
- Encourage the use of quick feedback mechanisms (e.g., in-app feedback,
surveys, and polls) to capture participant experiences during tool utilization.
- Categorize feedback into key themes such as usability, functionality,
performance, and training needs for more structured analysis.
- Use Case Inventory:

- Work with stakeholders and pilot users to compile a comprehensive inventory of
identified use cases during the pilot phase.
- Associate feedback with each use case to assess potential areas for
improvement or scaling.
Phase 3: Evaluation and Refinement
- Feedback Analysis and Reporting:

- Analyze the feedback collected throughout the pilot to identify patterns,
challenges, and opportunities for improvement.
- Prioritize issues based on their impact on user experience and organizational
goals.
- Lead feedback review sessions to align stakeholders on progress, challenges,
and potential solutions.
- Continuous Improvement Cycle:

- Implement a continuous improvement process based on the feedback,
adjusting the tools and processes as necessary.
- Maintain communication with pilot participants to ensure they are informed of
changes and refinements.
- Facilitate an iterative feedback-response loop, where adjustments are tested,
further feedback is gathered, and refinements are made accordingly.
Deliverables:
Phase 1: Planning and Preparation
Feedback Platform Setup: A centralized feedback collection tool with templates for easy input
and tracking.
Communication Plan: A strategic plan to manage communications across stakeholders and
participants.
Phase 2: Pilot Execution
Use Case Inventory: A detailed list of identified use cases, accompanied by relevant feedback
and insights.
Feedback Reports: Summaries of feedback collected during pilot execution, highlighting key
findings and areas for improvement.
Scheduled Check-ins: Reports from regular feedback meetings, summarizing user experiences
and feedback trends.
Phase 3: Evaluation and Refinement
Evaluation Report: A comprehensive analysis of the pilot’s success and failures, with
recommendations for scaling GenAI tools across the organization.
Change Log: Documentation of adjustments made during the pilot in response to feedback,
and their impact on tool performance and user satisfaction.
3. Competencies and Experience Requirements:
Technical Expertise:
Strong understanding of Generative AI tools, their use cases, and potential impact on business
processes.
Experience setting up feedback mechanisms and utilizing tools like Asana, Trello, Microsoft
Teams, or similar platforms for feedback collection.
Project Management:
Proven track record in managing and facilitating pilot projects, particularly in the technology or
digital transformation space.
Ability to coordinate a diverse group of people coming from different geographies, multiple
business domains and varied cultural backgrounds to gather meaningful insights. This mostly
includes non-technical users.
Evaluation and Reporting:
Expertise in qualitative and quantitative feedback analysis, with the ability to translate user
experiences into actionable recommendations.
Experience in producing detailed evaluation reports, including suggestions for process
improvement and tool refinement.
Communication and Facilitation:
Excellent communication skills, both written and verbal, with experience developing
communication plans, managing stakeholder expectations and ensuring clear reporting.
Experience facilitating workshops, feedback sessions, and review meetings.
Proficiency in English (written and spoken) is required. Knowledge of French and Spanish is a
plus
