We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our management team. The role will encompass a blend of project management, coordination, and data processing tasks. The ideal candidate is proactive, highly responsible and diligent, detail-oriented, has excellent communication skills, and thrives in a dynamic, fast-paced environment.

Executive Support

  • Manage calendars, appointments, and meetings for senior executives.
  • Handle confidential correspondence and prepare detailed reports.
  • Screen and prioritize emails, calls, and tasks effectively.

Project Management

  • Plan and execute projects, ensuring deadlines and budgets are met.
  • Coordinate resources and collaborate with cross-functional teams.
  • Monitor project progress and prepare status reports.

Coordination

  • Liaise with vendors, service providers, and stakeholders to ensure smooth operations.
  • Maintain accurate documentation and ensure timely follow-ups.

Data Processing

  • Collect, analyze, and process data for reports and decision-making.
  • Develop and maintain organized digital and physical filing systems.
  • Leverage software tools to automate workflows and enhance efficiency.
Qualifikationen
  • Bachelor's degree in Business Administration, Management, or a related field, or equivalent experience.
  • At least 3 years in a similar role, such as executive assistant or project management.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Familiarity with project management and data analysis tools.
  • Exceptional organizational and multitasking abilities.
  • High level of discretion and confidentiality.
  • Fluent in English; knowledge of German is an advantage.
