Your mission At WIK, our 5,000 employees across Switzerland, Germany, North Macedonia, Hong Kong, Indonesia and China create products used by millions of people worldwide.As we continue to grow, we are looking for a People Department Associate who enjoys supporting others and keeping things running smoothly behind the scenes. In this role, you will be the friendly, reliable presence in our Lucerne office - the person colleagues turn to for help with everyday questions, documents, or small organisational tasks. You’ll make sure our HR processes are clean and accurate and the office feels welcoming for everyone who walks through the door. Your work will directly contribute to a positive employee experience and help our People Department operate efficiently in a fast-growing, international environment. Your profile HR Administration & People Operations Maintain employee data in Personio (updates, changes, documents, time tracking). Support monthly payroll inputs for Finance (allowances, reimbursements, new joiners, leavers, changes). Support onboarding and offboarding (equipment, documents, IT access, welcome set-up). Prepare employment contracts, amendments, confirmations. Track vacation days, absences, sick days. Support recruitment admin (posting jobs, scheduling interviews). Office Management Oversee daily office operations at the Lucerne HQ. Coordinate office suppliers, deliveries, meeting rooms, cleaning services. Prepare visitor set-ups for colleagues arriving from Essen, Hong Kong, Prilep, Shenzhen, Batam etc. Manage travel bookings (flights, trains, hotels) when needed. Maintain office inventory (snacks, coffee, stationery, plants). Coordinate office-related invoices with Finance. Employee Support Be the first contact person in the office for small requests. Help with reimbursements, certificates, and administrative questions. Support the Head of People & Culture in organising team events (Lucerne dinner, workshops, GLT, etc.). You have: 2 - 4 years of experience in HR administration, office management, or assistant roles. Strong organisational, coordination, and multitasking skills. Comfortable with HR systems (Personio is a huge plus). Good understanding of Swiss labour basics (or willingness to learn). Strong communication skills in English & German You are: Friendly, reliable, detail-oriented. Proactive and solution-oriented. Enjoys helping others and being the “glue” in the office.
