Job SummaryWe are seeking an experienced Administration Associate to join our team in Pully. The successful candidate will be responsible for managing accounts receivable, maintaining employee records, and supporting the administration of employee benefits.
Key Responsibilities- Accounts Receivable (70%):
- Process and manage invoices, ensuring timely and accurate billing.
- Monitor and follow up on outstanding payments, maintaining positive relationships with clients and stakeholders.
- Reconcile accounts receivable balances and resolve discrepancies.
- Prepare and maintain financial reports and records related to accounts receivable.
- Collaborate with the finance and product teams to improve and streamline accounts receivable processes.
- Support the preparation of audit documentation and respond to auditor inquiries.
- Maintain organized and up-to-date financial records.
- HR Administration (30%):
- Maintain and update employee records, ensuring accuracy and confidentiality.
- Coordinate onboarding and offboarding processes for new hires and departing employees.
- Support the administration of employee benefits, including health insurance, retirement plans, and other perks.
- Prepare and distribute HR-related communications and documents.
- Respond to employee inquiries regarding HR policies and procedures.
- Ensure compliance with labor laws and company policies.
- Support absence management by tracking employee sickness and accidents, and liaise with insurance providers to ensure proper documentation and compliance.
- A Bachelor's degree in Business Administration, Finance, HR, or a related field is preferred, but candidates with equivalent experience will also be considered.
- Proven experience in HR administration and/or accounts receivable roles.
- Fluent in English is mandatory, any other languages is an asset.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite, with extensive expertise in Excel (must have). Experience with Dynamics 365 and Sunetplus is an asset.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving abilities and a proactive attitude.
