Job OverviewLITASCO SA is seeking a skilled Operator Specialist to join our team. As an Operator Specialist, you will be responsible for executing efficient transaction handling, ensuring timely and accurate administration and data entry.
Responsibilities- Ensure operations comply with contract specifications and maintain seamless communication with traders and counterparties.
- Analyze deal sheets, contact traders for corrections, and review contractual content to ensure understanding of terms and conditions.
- Issue instructions to execute contracts, including amendments, and review transhipment, service, and storage contracts.
- Instruct letter of credit issuance/receipt as per contract requirements and verify commercial aspects to ensure details match contractual terms.
- Audit LC terms to align with operational data and guarantee adequate financial security before deliveries.
- Timely issue outgoing invoices and process incoming invoices.
- Nominate vessels under contracted agreements and issue documentary instructions to meet LC, customs, and contractual needs.
- Appoint quality inspectors for quantity control as per contractual requirements.
- Process purchase, sale, and services invoices and manage storage (if applicable).
- Fully comprehend pricing mechanisms and manage pricing events correctly.
- Understand hedging strategies and exposure on each cargo.
- Maintain good commercial awareness in operations, considering volume tolerances, freight economics, demurrage savings, and price exposure.
- Clear vessels with terminal and counterparties vetting processes through Charterers and understand fixture details provided by Shipping Dept.
- Issue voyage orders/agents appointed/LOIs to the vessel via brokers.
- Process shipping invoices.
- Thoroughly understand oil cargo claims and identify potential issues or claims that may arise.
- Highlight loss control potential issues/claims immediately.
- Analyze voyages and work with loss control to assess incoming and outgoing claims.
- Post-deal claims analysis – Analyze incoming and outgoing claims.
- Ensure timely and correct input of deal details into trading systems, DCTM, and other relevant systems.
- Create Operators Files and confirm system correctness matches final contractual terms.
- Enter and update vessel movements, event dates, Q&Q, and details for invoicing goods and services costs.
- Verify pricing details for prompt invoicing and timely issuance of outgoing invoices.
- Check and allocate incoming invoices for cargoes and related costs.
- Timely and accurate filing according to agreed procedures in DCTM.
- University Degree or Business School degree;
- Minimum 5 years of experience in operations in trading industry, with a minimum of 3 years on the crude oil desk;
- Knowledge of the international trading environment in the oil industry;
- Knowledge of operational and financial procedures;
- Expert-level knowledge in TCO;
- Strong organization skills and ability to manage priorities;
- Good negotiation skills and ability to build productive relationships;
- Versatile; ability to adapt to situations and resolve problems quickly;
- Autonomous, pro-active and always thinking ahead;
- Good judgment skills and ability to come up with solutions, while minimizing risk and optimizing the company's interests;
- Fluent in English and Russian (mandatory), Kazakh is a plus.
