Administrative & Project Coordination Specialist

We are seeking a highly organized and detail-oriented Administrative & Project Coordination Specialist to join our team at Universität Bern.
As an integral part of our department, you will be responsible for providing administrative support to the Head of Business Operations, including calendar management, meeting coordination, and correspondence.
In addition, you will assist with project tracking, milestone management, and reporting, as well as prepare and maintain project documentation, timelines, and deliverables.
Responsibilities- Executive Support: Provide high-level administrative assistance to the Head of Business Operations, ensuring seamless communication and efficient task execution.
- Project Coordination: Collaborate with project stakeholders to track progress, identify potential roadblocks, and implement solutions to ensure timely completion.
- Operational Support: Monitor key performance indicators, draft client-facing documents, and coordinate with internal teams to align processes with client expectations.
- Client Relations: Facilitate client onboarding, schedule meetings, prepare agendas, and manage follow-ups to build strong relationships and drive business growth.
- Education: A degree in Life Sciences, Healthcare, or Business is preferred, but not required. Relevant experience can be substituted for formal education.
- Experience: At least 2 years of administrative experience in clinical research or healthcare, with knowledge of clinical trial processes and regulatory standards (GCP, FDA, EMA).
- Skills: Proficiency in MS Office, strong communication, organizational, and multi-tasking skills.
- Languages: Fluency in German and English is required; other languages are an advantage.
- A competitive salary of CHF 60,000 - 80,000 per year, depending on experience.
