The Role:

This Senior Administrative Assistant role requires strong organizational skills, attention to detail, and the ability to manage both individual tasks and joint team responsibilities effectively.

Main Responsibilities:

  • Providing administrative support to Senior Management and a team within their respective division, ensuring seamless day-to-day operations.

  • Diary management, including organizing internal/external meetings, scheduling appointments, and handling sensitive and confidential material and information.

  • Establishing professional and effective communication with internal stakeholders and assistants in your area, as well as cultivating relationships with external clients and their assistants.

  • Managing telephone calls, taking ownership of queries and providing prompt responses, and managing email systems, prioritizing and responding where appropriate.

  • Arranging complex domestic and international travel, booking in advance where possible to ensure cost-effectiveness, and obtaining necessary visas.

  • Coordinating conference calls and video conferences internally and externally, utilizing Concur and iTrack forms/Salesforce as needed.

  • Understanding internal systems, such as Concur and Salesforce, and handling expenses accordingly, with a general understanding of bank policies.

  • Highlighting out-of-policy expenses to Business Managers for review and approval.

Requirements:

  • Fluency in Swiss German, German, English; basic knowledge in French/Italian beneficial.

  • Proven experience as an administrative assistant, office manager, or in a similar role, preferably in Corporate or Investment Banking.

  • A proactive style, with the ability to work independently and as a team player, demonstrating excellent organizational and multitasking abilities.

  • Capability to work efficiently in a pressurized environment, maintaining a mature, calm, and professional attitude at all times.

  • Excellent PC skills, including Word, Excel, PowerPoint, and Outlook, with a flexible approach to overtime and out-of-hours working patterns.

  • Accuracy and numeracy, with excellent communication skills written and verbally in Swiss German, German, and English.

  • Confidence in dealing with people of all levels, both internally and externally.
