Operations Coordinator

Job Summary

We are seeking a highly skilled Logistics Coordinator to join our team at Marken, a leading provider of clinical supply chain solutions. As a Logistics Coordinator, you will play a critical role in ensuring the timely and efficient delivery of shipments to our clients.

Key Responsibilities

• Monitor and track shipments to ensure timely delivery and resolve any issues that may arise.
• Collaborate with our operating system, Maestro, to plan and execute import and export shipments.
• Coordinate with other departments, agents, and drivers to ensure seamless collections, deliveries, drop-offs, and recoveries.
• Communicate effectively with the Packaging Team to ensure availability of required supplies.
• Process temperature-sensitive shipments and maintain temperature-controlled shipments as required.
• Provide documentation to agents and drivers for collections, deliveries, drop-offs, and recoveries.
• Verify the completeness of recoveries by matching information against manifests during reception.
• Provide expedited dispatch and alert receiving agents/offices.
• Notify discrepancies to respective departments, agents, or Marken Offices and update Maestro accordingly.
• Confirm shipments are OK to send to final destinations and obtain Master Airway Bill (MAWB) consignment instructions.
• Define optimal routes for dispatching shipments to final destinations.
• Condition shipments as required and update milestones in Maestro.
• Obtain airline bookings and consign MAWB as instructed.
• Enter route legs for international flights.
• Send alerts through Maestro.
• Coordinate with Dispatch for drop-offs to airlines according to SOPs.
• Update Maestro with departures from airports using Daily Schedule Reports.
• Handle irregularities and perform additional administrative tasks as needed.

Requirements

• Professional experience in customer service operations, preferably in international air freight, logistics, or distribution.
• Preference for existing knowledge and experience in the pharmaceutical and clinical trial industry.
• Commitment to quality and attention to detail.
• Strong customer focus.
• Team player/self-dependent/motivated to succeed.
• Proficient in MS Office/Excel/Word.
• Fluent communication skills in English and German required.
