The Event Coordinator is responsible for managing all aspects of VIP services at corporate events and product launches. This role involves overseeing VIP invitations, handling travel and accommodation logistics, and addressing special requests to ensure a seamless experience for executives, key clients, and other important guests. The position requires exceptional organisational skills, attention to detail, and the ability to manage VIP needs discreetly and efficiently throughout the event process.
- 1-2 years of experience in corporate events, VIP services, or hospitality
- Strong communication, organizational, and problem-solving skills.
- Ability to handle high-pressure situations, last-minute changes, and sensitive VIP requests.
- High attention to detail and professionalism; discretion in managing confidential information.
- Proficiency in Microsoft Office, particularly Excel and PowerPoint, to manage event timelines, guest lists, presentations, and reports efficiently.
- Language: English, French
**Invitation and RSVP Management**:
- Coordinate personalised invitations, follow up on RSVPs, and manage guest lists.
- Ensure communication is clear, timely, and aligned with VIP expectations.
**VIP Travel and Accommodations**:
- Arrange flights, accommodations, and ground transportation, ensuring smooth transfers and logistics.
- Handle last-minute changes and adjustments to travel plans with efficiency.
**On-Site VIP Services**:
- Facilitate VIP check-in, seating arrangements, and access to exclusive areas.
- Provide personalised schedules and ensure a smooth flow for VIPs during the event.
**Special Requests and Needs**:
- Address and fulfil any bespoke requests, including dietary restrictions, special seating, security, or private meetings.
- Anticipate potential needs and provide proactive solutions to enhance the VIP experience.
**Stakeholder and Internal Team Coordination**:
- Work closely with stakeholders (ground team, security, etc.) and internal teams to ensure flawless execution.
- Ensure all VIP services align with event goals and company standards.
**Post-Event Follow-Up**:
- Oversee post-event communication, including personalised thank-you notes and gathering feedback from VIP guests.
