**Main Purpose of the Role**

To assist the Extracurricular Department in the planning, organization, subscriptions, implementation, and management of all extracurricular activities for day and boarding students. Support the department by handling the financial analysis and related metrics of the department activities.

**Key Responsibilities**

Customer Service
- Manage daily communications and calls to teachers for coordination of absences and logistics need of the students;
- Provide help and advice to parents using the Extracurricular program offer;
- Investigating and solving customer’s problems;
- Keeping accurate records of discussions or correspondence with parents;

Administration
- Manage the student’s subscription process for the extracurricular activities;
- To support the Extracurricular Administrative Assistant;
- Coordinate logistics for delivering the extracurricular activities (teacher’s relations; absences; covers; room reservation, etc.);
- Ensure departmental filling is kept updated;
- Maintain up-to-date the Extracurricular database;
- Prepare annual and periodical updates of Extracurricular activities booklet;
- Support on the annual and periodical extracurricular activities planning: Implementation of new programs and gathering benchmarking data;
- Responsible to develop and to keep up to date marketing tools and surveys (XCR booklet, website, Indesign, etc.).

Analytics
- Treat the first layer of the salary validation process for teachers in extracurricular (loyco and private lesson);
- Analysing statistics or other data to determine the level of customer service provided by the department;
- Creating and keeping the department’s statistics updated in order to evaluate the XCR evolution (number of students, activities, borders, private lessons, etc.);
- Responsible for providing the Extracurricular program financial projections (forecast) to the Finance department;
- Responsible for the billing process: calculate the number of activities done by the students, prepare a consolidated list to bill parents, communicate billing information to Finance;
- Billing: deal with parents’ complaints and billing modification;
- Responsible for preparing and providing monthly teachers’ salaries information to Loyco and HR;
- Provide financial monthly reports on current activities and private lessons;
- Pricing analysis and review;
- Provide financial planning and regular profit reports for existing and new proposals on the extracurricular programme;
- Maintain accurate accountancy.

Other tasks as required by the management.

**Qualifications**:

- Recent graduate qualification obtained in Ecole hôtelière, CFC Commerce, Travel Agent or equivalent
- Advanced knowledge of Word and Excel
- Advanced knowledge of French and English languages (one native). Any other languages are an asset.
- Administrative / financial experience
- Aptitude for business control
