Overview:
Main purpose of the job: Reporting to the Director of Production, this position will be responsible for the coordination and administration of crew booking, both in-house and freelance.

Qualifications:

- Enthusiastic and self-motivated with excellent client facing skills.
- Excellent administrative and verbal communication skills.
- Working knowledge of the live events and entertainment industry would be an advantage.
- Excellent organisational skills with the ability to work under pressure and to strict deadlines.
- Strong IT skills, with experience in Word and Excel to generate Schedules and WinHits and Oracle to generate Purchase Orders.
- You are Dutch and/or French speaking (with a good knowledge of the other language), in addition you are fluent in English (company language).
- Ability to work as part of a team as well as on own initiative.
- Accuracy and attention to detail.
- Ability to prioritise and cope with a demanding workload.
- Reliable and flexible approach to work, with a good time-keeping record.
- Positive attitude to extra duties and new challenges.
- Prepared to work additional hours when necessary.
- Ability to understand and comply with the Company’s Health and Safety Rules.
- Ability to follow and undertake safe lifting practices as instructed.

**Responsibilities**:

- Assist with the selection and booking of freelance / subcontracted crew for a wide range of tours and projects working in conjunction with the relevant Account Manager.
- Co-ordinate the allocation and booking of the Company’s full-time Site Team under the guidance of the Director of Production.
- Co-ordinate all relevant administrative duties, including, but not limited to:

- Contacting and booking Crew.
- Raising and issuing Crew Purchase Orders.
- Compiling and issuing Crew Schedules / Contact Sheets.
- Maintaining the Availability Diary for the Company’s full-time On Site Team and freelance / subcontracted crew.
- Monitoring the expiration of Insurances and Licences & updating Database accordingly.
- Providing a point of contact for regular crew wishing to inform the Company of their current availability.
- Providing a point of contact for freelance crew wishing to introduce their services to the Company.
- Negotiate rates, terms and contracts with subcontracted crew as directed by Director of Production and / or relevant Account Manager.
- Highlight and report on crewing issues where applicable to Director of Production.
- Liaise with Accounts regarding any disputes or queries with freelance invoicing.
- Ensure that the Company’s policies, rules, procedures and obligations are observed in carrying out the above duties.
