This position is responsible for a broad range of high-level administrative duties in support of the Chief Human Resources Officer’s (CHRO) office (line manager of this position). This position acts independently and exercises initiative to achieve organizational goals and objectives, maintains a high level of confidentiality, and establishes and maintains positive working relationships.
**Responsibilities**:
Essential Duties:
- Manage the calendar of the CHRO. Determine the urgency of requests and priorities accordingly to complete tasks in a timely manner. Manage long-term view of calendars strategically by collaborating across the organization to drive efficiency and understanding executives’ priorities.
- Assist the CHRO in preparing for HR Leadership Team (HRLT) meetings, one-on-one meetings, meeting with President, and board meetings including potential HRLT retreats which may include booking venues, travel, and providing on-site logístical support.
- Schedule HRLT meetings, prepare agendas, and record minutes. Manage any follow-up tasks and ensure completion.
- Collaborate with the Chairman of the Nomination and Compensation Committee (NCC) and act as a secretary for NCC meetings following up annual agenda timeline, preparing and sharing materials, and recording minutes of the meeting.
- Support the Head of HR in Switzerland with various assisting tasks (e.g: meetings preparation and organization, travel arrangements, booking and coordination of special local events, office supplies management, organizing birthday and special gifts and/or initiatives).
- Edit reports, proposals, and presentations for both CHRO and the Head of HR Switzerland.
- Attend to administrative detail on special matters assigned by the CHRO, eg. compose correspondence on own initiative on matters not requiring personal responses of the CHRO and Head of HR in Switzerland.
- Take care of CHRO travel arrangements, itineraries, and background materials.
- Construct budgets and oversee the budget process for department budgets and manage the budget of the CHRO.
- Maintain CHRO expenses and submit expense reports monthly.
- Manage the CHRO office in a proactive and professional manner. Develop a workflow for the office including timelines, office procedures, and regulations for completing what is required of the office.
- Identify process improvement opportunities proactively and recommend solutions to promote operational efficiencies across HR.
Internal Communications:
- In collaboration with Internal Communications Lead develop and maintain editorial calendars to drive internal communications in line with business priorities and external news flow.
- Maintain coherence (including consistency with external communication) in messages, content, channels, and materials to support global internal communications strategy.
- Ensure HR annual cycle activities, priorities and projects are successfully communicated to employees and other stakeholders.
- Plan, curate, edit and write content for a variety of internal communications media (intranet, newsletters, internal social media channels).
- Plan, manage and coordinate internal events such as Future Days.
- Maintain and develop HR function internal communication channels.
- Amplify key topics, focus areas, and leadership messages effectively and in a timely manner.
Your background
**Education**:
- BA preferred or equivalent experience.
- Ongoing education is encouraged.
Experience/Qualifications Required for The Job:
- Three to five years of progressively responsible EA experience including senior executive support and preferably. Board of Director relations and communications.
- Ability to function in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under mínimal supervision, balanced with a willingness to request clarification/assistance when difficulties arise.
- Ability to provide support with various projects which require the ability to manage multiple, concurrent tasks with the highest levels of professionalism, confidentiality, and timely turn-around.
- Excellent organizational skills with attention to detail and the ability to handle concurrent tasks and constant interruptions.
- Excellent communication skills with employees of all levels. Preferably experience with various internal communication tasks.
- Excellent skills in English and German both written and verbal, additional languages are an advantage.
- Ability to work closely with other Executive Administrators to identify and balance priorities, requirements, and areas of need.
- Ability to be highly discreet and routinely handle confidential matters.
- Basic accounting skills.
- Possess good judgment, reasoning ability, and strong problem-solving skills.
- Travel may be required.
