**Summary**

The Marketing Operations Coordinator Europe is responsible for working with Commercial Sales Operations and Brand Management teams to support and coordinate key activities in Commercial Operations. Working cross functionally e.g. legal, regulatory, and medical to manage the end-to-end review process for Incyte Europe’s advertising and promotional review process, EXPO. The position will report to the Regional Vice-President, Head of Commercial Operations and Brand Strategy, Europe

**Duties and Responsibilities**
- Support key brand or commercial operations projects as appropriate
- Support brand leads on content for and facilitation of key brand/agency/kick off meetings
- Support and manage all activities associated with the review and approval of promotional materials to ensure compliant and timely delivery
- Route jobs throughout the review cycle and provide necessary internal and external partner follow-up
- Triage materials for appropriate review and provide guidance on materials requiring EU EXPO review (Table in EXPO sharepoint)
- Managing EXPO meetings as needed according to current schedule
- Maintain the EU EXPO sharepoint
- Support the aspects of the processes for proofing, distribution and dissemination, including but not limited to:

- Coordinate all distribution needs
- Ensure correct filing & actions of all materials in PromoMats
- Lead and manage cross-functional EXPO meetings
- Gather insight on upcoming items for review for planning purposes
- Build and manage meeting agendas
- Facilitate meetings while taking notes or minutes as agreed with project owner and/or relevant agency
- Manage all meeting logistics
- Document key learnings from each meeting to share across teams and to build a reference for future use
- Coordinate training to relevant new hires or new members of the EXPO review teams
- Constantly look to improve the EXPO and other process to increase efficiencies
- Provide project support to Head of Commercial Operations as requested
- Provide support to Brand Planning & Budget process Project team
- Ensures compliance with applicable regulations and Company compliance standards
- Contribute positively to a strong culture of business integrity and ethics
- Act within compliance and legal requirements as well as within company guidelines

**Requirements**:

- Min 5 years’ work experience in a Commercial/Marketing Operations support role in the pharmaceutical/biotechnology industries or within an advertising agency (focus on pharmaceutical/biotechnology).
- Project management qualifications and experience
- Ability to manage multiple projects and processes within a growing organization
- Ability to remain flexible and adapt to a changing environment
- Ability to successfully work across functions
- Strong communication skills and strategic thinking
- Ability to work in the English language
- Strong ability to demonstrate attention to detail
- Microsoft Office skills (Outlook, Excel, PPT, Word)
- Familiarity with electronic review technology platforms would be an advantage
- Experience on legal/medical/regulatory compliance and promotional review guidelines would be an advantage
