Schweiz Trafigura Vollzeit

**Main Purpose:**:To provide secretarial support to the CEO of the Company as 2nd Assistant with the CEO assistant.

Part of a team of 4 on the same floor and 8 in total. Work in shifts, from 7.45am to 6.30pm, but need to respond to out of hours urgent queries (evenings or weekends).

**Knowledge Skills and Abilities, Key Responsibilities:**:**Knowledge, Skills and Abilities**:

- min. of 3 years professional experience supporting someone at Management Committee level/C-level
- Fluent in english, good level of French language preferable
- Outlook knowledge a must - heavy diary management - and good experience in Word/Excel
- Strong organisational skills
- Excellent attention to detail
- Comfortable working accurately to tight deadlines, efficiency focused
- Must be adaptable and flexible
- Ability to deal with confidential matters
- Good communication skills at all levels
- Resilient
- Enthusiastic and approachable
- Team worker as well as being able to work autonomously

**Key Responsibilities**
Secretarial & Organisational Duties
- Calendar management of CEO
- Organise external and internal meetings/events
- Book complex video conferences (more than 2 locations) on different platforms
- Deal with expenses, organising of documents and creation of claims
- Support on incoming telephones
- Various other administrative and organisational duties on request

Travel Organisation
- Organise complex travels - more than 1 country, usually 2 to 3 countries at once
- Book hotels, car rental, drivers etc.
- Arrange visas, renewal of passports, and letters of invitation
- Preparation & communication of itineraries (internally & externally)

Corporate documents
- Handle documents to sign
- Wet signature/originals
- Digital signature
- Handle notarisation/apostille of documents
