- Your mission at Climeworks as the events project and program manager is to be part of the Strategic events and engagement team within the Communications & Branding Unit and to report to the Senior Stakeholder Engagement manager.
- You are responsible for event planning and overall logistics of meetups and events that Climeworks organizes at the fringes of world-famous conferences such as New York Climate Week, COP, WEF, as well as Climeworks’ own annual flagship event, the Climeworks Summit and its related side meetings.
- You are the owner of parallel timelines, structure the workflows across teams and team members within and beyond the Unit.
- You are the operational focus point for vendors (agencies, hotels, venues, caterers, audio-visual companies, freelancers) and ensure that assigned events are within budget, scope and timeline according to standard project management frameworks.
- You are also the point of contact for internal stakeholders at procurement, accounting, finance, sales, policy, HR, and other units.
- You contribute to the content prepared and/or adapted to support the events and Climeworks speakers throughout the event cycle (preparation, on-the-day and post-event).
- The position holder will have a unique opportunity to contribute to strategic engagement in a multicultural environment and be part of a scale-up company and global leader in the carbon removal industry.
**Event program management
**Event project management**
- Project management of specific events, in particular following the program’s parallel timelines to initiate and deliver kick-off meetings, synchronization and coordination across teams, regular internal meetings.
- Ownership of new and existing vendor relationships to ensure timely and per needs delivery of all action items.
- Documenting and maintenance of task/goals/project management tracking in Asana and related tools in use.
- Ownership of event budget tracker/forecasting and reconciliation.
**Event production & guest management**
- Act as production key contributor for major events, in particular the Climeworks summit - main Point of contact for technical and production agency partner, owner of cue sheet, run of show.
- Main point of contact for production of hybrid and online-only events.
- Scouting of venues, vendors and tools as appropriate.
- Key contributor or owner of guest management/attendee-facing tool (currently Cvent).
**Content production coordination**
- Preparation of briefings and factsheets for events, as required.
- Coordination and consolidation of content needs (pre event: presentations, vis.ual assets, etc.) and content output (post event: photography, videos, etc.). Continuous improvement and recommendations for optimization.
- You contribute to the event program strategy definition and alignment.
- You define, deploy and ensure progress and completion of parallel timelines across long lead, mid lead and short lead action items.
- You own the continuous setting of targets, monitoring and learnings implementation program from a budget point, operational and content/soft items point of view.
- You partner with other functions (Procurement, Legal, Commercial) and external vendors to identify synergies, opportunities and efficiencies of our event programs.
- You curate and document knowledge on venues, partners, activities, accommodation across cities and major engagement platforms (e.g. COP, WEF).
- You maintain the wishlist and opportunity list of platforms for engagement beyond existing (e.g. major summits).
- You own the Sustainability action plan across our event program.
- You have prior experience owning similar event programs and in a multinational environment.
- You also have prior experience successfully working in distributed teams including across continents/time zones.
- You also gathered experience working in support of a team rather than an individual only.
- You have excellent organization and project management skills and the ability to work on multiple projects and tasks at a time.
- You have a genuine taste for all-things events including their volatile and ‘heartbeat pace’ nature.
- You also have the ability to form solid relationships quickly, effectively and remotely.
- Your excellent collaboration skills with humility and a service mindset set you apart.
- You practice open communication while demonstrating utmost respect for confidentiality and workflows/R&Rs/accountability.
- You are business fluent in English.
- You are motivated to travel up to 35%.
