Our highly motivated Management Support Team, based at the HQ in Rheinfelden (AG), is looking for a
**Management Assistant (80-100%)**
**Your Tasks**
Support various Tillotts Pharma departments and the members of the Management Committee in the following areas:
- General administrative support (including ad-hoc requests)
- Support with PowerPoint presentations (including the creation of complex graphics and animations), Excel, Word documents (creating or finalizing documents)
- Credit card statements
- Planning and organizing business trips and events
- Handling congress registrations, organizing meeting rooms, travel arrangements including tracking and follow-up
- Planning and organizing smaller internal events
- E-mail correspondence, in English and German language
- Administrative contact for internal and external customers as well as for our parent company in Japan
Front Desk Tasks:
- Fixed working hours approx. 20% plus vacation replacement
- Professional support of customers, suppliers and business partners in an international environment
- Handling internal and external mail (incl. courier shipments)
- Organizing catering for meetings and events (including preparation of meeting rooms)
- Procurement and management of office supplies and maintenance materials
- Various administrative front desk tasks
**Who you are**
- Commercial or similar education or training (business school, hotel management)
- 3+ years of experience in similar positions
- Fluent in German very good written and spoken English skills
- Experienced MS Office (Word, Excel, PPT) and Sharepoint
- Pleasant, smart appearance and excellent manners
- Reliable, punctual, and able to work under pressure
- Able to multitask
- Passionate about customer satisfaction and service orientation
- Flexible team player with a positive attitude and a sense of humor
- Driver’s license category B
