Responsibilities Acting as the primary contact point for the leadership team, clients, and external partners Complex calendar management and prioritization of appointments for the Founder, CEO, and CFO Coordinating, leading, and mentoring administrative support professionals across different locations Drafting, editing, and proofreading internal and external communications on behalf of the leadership team Scheduling and organizing meetings, handling logistics, and providing on-site or remote support Overseeing office management, including facilities, supplies, and vendor coordination in Zug and remote offices Managing and processing incoming invoices, ensuring proper approvals and timely payments Maintaining digital and physical filing systems for administrative and financial documentation Qualifications Minimum of 5 years' experience supporting C-level executives or office management in a dynamic, international environment Fluent in both English and German (written and spoken) Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) Excellent organizational and time management skills with the ability to manage multiple priorities Strong communication skills and a professional, proactive demeanour Familiarity with invoice processing or basic accounting tools Experience managing office operations or facilities across multiple locations Previous exposure to the financial services or fintech industry Resourceful, adaptable, and calm under pressure Self-starter with a high degree of ownership High level of discretion and confidentiality with sensitive information Tech-savvy and confident using digital tools to streamline workflows Are you ready for a new challenge in a dynamic, fast-paced environment and confident you can cover the responsibilities outlined above?
