Main goal:

The Event Workforce Assistant will facilitate and standardise UEFA Events SA's external workforce hiring process and manage its pool of freelancers by coordinating with the internal legal, HR, ICT and finance teams, consulting the businesses or projects concerned and communicating and exchanging with freelancers.

Event Workforce Assistant

Key responsibilities:

- Perfecting a freelancer's experience with UEFA Events SA, from onboarding and training to deployment and invoicing
- Contributing to the continued development of the freelancer database by an external ICT provider, including discussing technological advances, analysing possible developments and liaising with internal and external developers
- Performing routine administrative tasks relating to freelancers and their assignments, including responding to their administrative questions
- Preparing service agreements for freelancers in cooperation with the legal team
- Ensuring compliance with local labour laws and checking that international freelancers have the necessary legal status
- Processing invoices from freelancers and following up on payments in cooperation with the procurement and finance teams
- Following up on budgets for different competitions in cooperation with the financial controllers
- Onboarding freelancers in the UEFA ICT environment and ensuring that all required services and access rights are granted, in cooperation with the ICT team
- Carrying out needs assessments within the organisation

Profile:

Experience required:
- from 1 to 3 years / dealing with administrative matters: preparing contracts, invoicing, email correspondence, budget monitoring, etc.

Education:
- Bachelor's in relevant field

Languages:
- English / Proficient

Additional requirements:
- Interest in developing new ideas and tools to make managing a growing pool of externals more efficient
- Sufficient ICT development and database management skills to help an external provider develop a freelancer database
- Familiarity with Swiss social security, contract and invoicing regulations
- A background in HR would be a plus
- Fluency in French would be an asset
