About the Role
We're seeking a proactive, motivated individual to join us as an Assistant.

In this role, you will support the Head Chairman's Office, the Head Group Board Services, and the Group Company Secretary and work with the Group Board Services team to ensure smooth process execution.

We are looking for an individual with key strengths in process management, management support and assistance work, who has outstanding communication skills and stakeholder management expertise.

Your mission? To provide seamless, professional support in daily operations, fostering an environment where our team can thrive process excellence.

Key responsibilities are:

  • Independently drive administrative and process support tasks for the Board Services Team, the Head Group Board Services, the Group Company Secretary and Head Chairman's Office
  • Handle calendar management, including scheduling of internal/external appointments across time zones and arranging all required logistics (rooms, video conferences, catering, accommodation etc.)
  • Coordinate travel arrangements and itineraries, process expense reports and other administrative tasks in a timely manner
  • Coordinate Group Board Services Team Meetings, prepare agenda, track action points and write meeting minutes
  • Support Board/Board Committees processes activities when required by the Process Manager
  • Organisation of Team events and support Group Board Services Event manager when needed
  • Manage invoice handling and processing, support the D&O execution process
  • Manage physical and electronic archiving of board and governance materials

About the Team


The Group Board Services team provides advanced advisory services to the Chairman and the Group Board of Directors and manages process execution to enable excellence in Swiss Re's board to position Swiss Re for success today and tomorrow.

Its duties include coordinating the management processes and meetings of the Board of Directors and its committees, organizing the Annual General Meeting and driving Corporate Governance topics.

With our continuous improvement mindset our aim is to provide the Group Board of Directors and senior management with fast and effective solutions where the risks are understood.

  • Proven extensive professional experience (executive assistant support), ideally with exposure to senior management.
  • Demonstrated selfstarter with a knack for organization and execution, coupled with selfmotivation and a resultsdriven attitude.
  • Exceptional organizational skills, with meticulous attention to detail
  • Excellent interpersonal and communication abilities
  • Skilled in successfully interacting with all levels of senior management, able to handle confidential information with the utmost integrity.
  • Excellent command of English and German, any other relevant language a plus

Additional asset:

  • Professional experience in an insurance company, a multinational financial organization or international consultancy is preferred
