PCO - DMS Trainee:

- As our new PCO Intern, you will assist the Delegate Management team in the_
- to participants. You will be in constant communication with participants and_
- organizations from all over the world. This includes paying participants as well as speakers,_
- sponsors, committee members and other VIPs. You will be part of the onsite team managing_
- the registration and accommodation desk/office during the event._
You are the first point of contact for all our clients and provide them with accurate, valid and complete information on all different aspects of the congress:
- You maintain the delegate management database in our registration system
- You keep records of customer interactions and send payment reminders
- You attend project team meetings
- You liaise with Procurement, TechHub, Project Management Teams and MCI's clients
- You do other administrative tasks in registration and hotel reservation.
ADMINISTRATION
- Answer and direct phone calls
- Manage mail and courier
- Preparation and drafting of various reports
HOTEL OPERATIONS
- Hotel booking management for groups and individual participants (room allocations, modifications, cancellation)
- Finance management for groups and individual participants (invoices, payments, follow up)
- Email correspondence with suppliers (allotment overviews, additional rooms requests, miscellaneous, etc)
- Creation of external and internal documents, reports, etc
- Hotel promotion, onsite and offsite
- Production of weekly statistics
- Final reconciliations with suppliers
REGISTRATION OPERATIONS
- Group booking management and support for individual participants
- Finance management for groups and individual participants (invoices, payments, follow up)
- Email correspondence with group leaders and delegates
- Data input in the registration computer system
- Production of weekly statistics
- Various documents preparation
- Onsite management, help desk etc.
- Final income reconciliation
JOB REQUIREMENTS
- Intership agreement required, it must be an integral part of your studies (no optional internship)
- Work placement period : May to September
- Highly proficient in spoken and written English
- Good working knowledge in spoken and written French
- Highly proficient in Microsoft Office (Outlook, Excel, Word, etc
But there are a few skills you should have the get-go:
- Currently studying (Tourism Industry is a plus)
- Capable of working in highpressure environment, handling multiple projects
- Open to working on a flexible work schedule
- Good team player and selfdriven, independent work capabilities
