Overview & Responsibilities


Under the direction of the Procurement and Planning Manager EMA - and in close cooperation with the Field Service Operational Management, the Field Service Coordinator provides dedicated support to the Field Service Organization and our customers in the Europe Middle East and Africa region.


This includes field service assignment tracking, manpower and resource coordination (people logistics) and coordinating job specific travel arrangements, posted workers documentation for customers' site access, work permits and visas worldwide.


The major goals are to enable the field service operation to meet the assignments' deadlines (on time mobilization of people), coordinate all round travel logistics and meet customer's requirements for personnel's documentation for access to the construction sites.


Areas that require main attention are:

  • Compliance with legal immigration requirements worldwide (visas, work permits coordination)
  • Coordination of HSE and posted workers documentation (Portals documents administration)
  • Coordination of international documentation, personnel and travels from single to large groups allrounder logistics
  • Assistance on Resources scheduling and planning
  • Tracking of personnel's documentation make sure validity and renewals on time, planning and reviewing
  • Communication with field personnel, management: mostly remotely.
  • Administering daily support to the activities of Field Service operation including emergencies.
  • Individual contribution to a project's preparation phase, focal point: human resources, people logistics, document administration Coordination of manpower assigned for international oil & gas projects for equipment maintenance: allrounder logistics from house door to customer's site worldwide.
  • Organizes travel arrangements (through a travel agency) including hotel, rental car and visa, work permits, makes all clarifications with corresponding authorities and involved parties and customers independently.
  • Clarifications with embassies, legal councils, notary, visa agencies about travel and legal documentation to ensure compliance to counties' rules: coordinates visas and work permits.
  • Coordinates with customer and company's internal departments HSE documentation, manages registrations on customers' Portals (mostly in Europe), analyzes possible issues in advance and proactively clears all issues in documentation and arrangements.
  • Updates data files, skills registers, personnel data base, and controlled documents.
  • Cooperates with Team making sure to cover all projects on time, team player and individual performer.
  • Makes clarifications with suppliers on the invoices, cooperating with finance department.
  • Monitoring and updating of job planning schedule including tracking of tools (Primavera 6).
  • Managing deadlines and progress across the team to ensure the project is delivered on time.
  • Sometimes required to work outside the normal office hours or weekends (home base or office) due to changing service demands. Availability via mobile phone on the weekends (8/7) is sometimes needed (approx. 2 days a month).
  • Must be energetic, selfmotivated, proactive, flexible minded, very structured and organized personality with excellent time management, multitasking, communication skills.
  • Must be able to keep calm and act fast in fast changing situations, short notice adjustments of arrangements, emergencies.

Hybrid - 2 days office, 3 days home
