CONSULTANCY: Audiovisual and Conference Room Equipment Upgrade

The World Meteorological Organization (WMO) plans to upgrade the audiovisual systems in its five large conference rooms to mitigate the high risks related to the use of fast aging conferencing technologies and to meet evolving operational needs. This upgrade will focus on enhancing functionality and efficiency in supporting hybrid meetings with multi-language remote interpretation capabilities. This upgrade is crucial for facilitating effective, inclusive communication and decision-making in WMO's global and multilingual environment, aligning with its mission in weather, climate, and water-related collaboration.

The primary objective of the consultant is to provide detailed technical specifications for the upgrade of the audiovisual equipment and conferencing system in the five major conference rooms, develop a comprehensive cost estimate, and establish a realistic project timeline for the implementation of these upgrades.

Scope of Work:

� Conduct a thorough assessment of the existing audiovisual and conferencing systems in all five rooms;
� Develop technical specifications for state-of-the-art audiovisual equipment suitable for the needs of WMO;
� Draw upon experience in managing similar scale projects to develop technical specifications;
� Create a detailed cost estimate for the procurement and installation of the new equipment;
� Develop a project timeline outlining key milestones and completion dates for the upgrade process;
� Ensure the proposed solutions are compatible with WMO's existing IT infrastructure and operational needs, and make sure that some of the existing infrastructure could be utilized.

Completion of the initial assessment and submission of technical specifications and cost estimates within one month after the commencement of duties.
Final project timeline and cost estimates to be submitted by the end of the consultancy.

Deliverables:

� An initial assessment report of the existing systems;
� Detailed technical specifications for the new audiovisual equipment;
� A comprehensive cost estimate for the upgrades;
� A project timeline with key milestones and completion dates;
� Analysis of offers received;
� Coordination and supervision of the execution of works;
� Final sign off and report.

Reporting and Communication:

� The consultant will report to the Chief of Conference Services;
� Regular updates are to be provided through meetings and written reports as per the agreed schedule.

QUALIFICATIONS

Education
� Bachelor or advanced degree in Audiovisual and conferencing Technology, Engineering, or a related field.

� Proven track record in managing large-scale projects, particularly in the areas of audiovisual, multimedia, and connected buildings, particularly in a conference or institutional setting;
� Demonstrated knowledge of IT network infrastructure with proven experience in implementing network structure. (Preferable);
� At least 10 years of experience in audiovisual systems;
� Demonstrated ability to create detailed technical specifications and cost estimates;
� Familiarity with the latest audiovisual technologies and integration with existing IT infrastructure;
� Excellent analytical, project management, and communication skills.

Other requirements
� CAD Software: Proficiency in Computer-Aided Design (CAD) software like AutoCAD or SketchUp is essential for designing and planning audiovisual setups in conference rooms.

� Project Management Tools: Proficiency with project management software like Microsoft Project, Trello, or Asana to efficiently manage timelines, resources, and tasks.

� Networking and IT Tools: Excellent understanding of networking tools and software for integrated systems, as audiovisual systems often interface with an organization's IT infrastructure.

Languages
Excellent knowledge of French and working knowledge of English (desirable)
